Remote onboarding and client expectations

The first week matters
Online coaching can fail quickly when clients do not know what to do after payment. The first week should make the client feel guided. They should know where to complete forms, when their plan arrives, how to communicate, how check-ins work, and what success looks like.
A strong onboarding process builds trust before the first workout begins.
What remote onboarding should include
A remote onboarding process can include a welcome message, a PAR-Q or health readiness form where appropriate, a goal questionnaire, training history, equipment access, injury or limitation notes, nutrition preference questions, progress photos or measurements if relevant, app or platform instructions, a check-in schedule, communication rules, and first-week action steps.
The coach should also explain what they do not provide, especially around medical advice or clinical nutrition. Refer clients to a registered dietitian, doctor or other qualified professional when their needs fall outside your remit.
Set expectations early
Clients need to know how often you check in, how quickly you reply, what they should track, what happens if they miss sessions, how plan changes work, what kind of results are realistic, and what effort is expected from them.
Clear expectations protect both the coach and the client.
